Description
Seeking an energetic, detail-oriented and polished administrative professional to join the American Express General Counsel Office. This position will support several attorneys, and will be responsible for:
- Organizing and maintaining complex calendars using a high level of tact, persistence and integrity.
- Managing confidential filing and keeping regulatory records in good order.
- Making complex travel arrangements including air, rail, hotel, transfers & visas.
- Coordination of internal and external meetings and team events, including room booking, catering etc.
- Undertaking tracking and administration of cost center, Corporate Card & CPC statements.
- Coordinating, preparing and reconciling of TEV using Concur Expense System.
- Producing accurate presentations, documents and general correspondence in a timely manner.
- General follow-up, reminders in order to effectively meet deadlines and commitments.
- Organizing regular team meetings and 1:1s with Direct Reports.
- Managing Career Track and recruitment process, re-location and new-hire coordination.
- Supporting on-boarding of contractors including working with Human Resource vendors, submitting requests into Ariba and procuring laptops, office space, etc.
- Ad hoc project work as directed by leadership.
Qualifications
- Required Skills/Qualifications:
- Minimum 5+years executive administrative support experience within a large organization; experience within a legal department a plus.
- Experience in handling a wide range of administrative related tasks, including organizing large meetings across time zones and arranging travel.
- High level of administrative and organizational skills, including excellent verbal and written communications skills.
- Strong proficiency with MS Office, including Word, Excel, PowerPoint and Outlook required; experience with Ariba, Concur and HR payroll systems preferred.
- Demonstrated ability to take the initiative to spot problems before they arise, find solutions, and provide timely follow-through on projects. High level of integrity required for handling sensitive and confidential information.
- Demonstrated ability to work with a sense of urgency and under pressure, as needed to handle multiple tasks and prioritize effectively.
- Punctual and reliable, with a close attention to detail.
- Ability to interface effectively and diplomatically with executives and executive assistants across the organization
- Proficiency in using a wide array of online systems, and willingness and ability to master new systems as needed
- Demonstrated ability to establish and maintain an organized filing system.
- American Express organizational knowledge a strong plus.
