Job Title Administrative Coordinator

US Training, Learning and Development at Hamburger University, Oak Brook, is considering candidates for an Administrative Coordinator.  The primary responsibility of this position is to provide advanced administrative support to the needs of the Sr. Director of Design, the Director of Training and Performance Solutions and the Director of Education Strategies, and be a supporting member of the Design Team and the Core Administrative Team.  Key customers include but are not limited to US TL&D team members, Home Office departments, students and visitors to HU and the field as required.  The person we seek will be polished, highly organized and able to perform in a very fast paced environment with the ability to adapt to ever changing priorities.
In addition to following McDonald's policies and procedures, principla accountabilities include, but are not limited to:
Core Administrative:
- Review, update, process invites and maintain daily calendars for priniciples/customers/self
- Schedules and coordinates internal meetings
- Arranges travel itineraries, including accommodations, transportation, etc.
- Processes telephone calls and responds to routine inquiries
- Distributes incoming mail, reports and correspondence
- Produces correspondence and reports using appropriate software and tools.
- Establishes, organizes and maintains files and records.
- Maintains principles expense reports
- Updates and keeps current all rosters and distribution lists
- Detailed budget processes for dept. invoices and obtains appropriate authorization for payment.
- Identify and implement systems to streamline and gain efficiencies in work processes
Adminstrative Team Accountabilities:
- Participates in weekly team meetings
- provides assistance to the team to balance workload, when necessary
- participates on cross-functional teams as assigned.
- 3 years of Administrative experience, preferrably supporting leadership positions;
- McDonald's experience a plus;
- Advanced knowledge of MS Office applications, Outlook and Windows 7
- Highly organized, with attention to detail and ability to handle multiple projects simultaneously
- Extremely customer service focused
- Displays ability to communicate using appropriate methods with our customers, leadership and staff
- Ability to work in a fast paced, dynamic environment within a multi-functional team
