Position Summary:
The Administrative HR Coordinator will provide general administrative support to the HR Director(s) and their Business team.
Key Responsibilities:
· Arrange Director’s global and local calls and meetings; dealing with ever-changing schedules and coordination of her meetings
· Coordinate travel arrangements and support for all overseas visitors (global team members and meetings); Director travel
· Process Director expenses including organizing, inputting, and ensuring appropriate documentation in order
· Orders supplies; sort and distribute mail; process IT requests
· Provides support for new hires and
consultants by ordering equipment, ensuring they are in the system,
employee badges, working with HR4HR for offers and employee IDs, etc.
· Coordinates on site and off site meetings
for the LDD including logistics. This includes vendor management,
contract negotiation, expenses and purchase orders; takes notes for
staff meetings and distributes to staff, as needed.
· Complete purchase orders for the department including inputting in ARIBA, finalize invoicing and receipt after service
· Coordinates all general HR recordkeeping
for full department including organizational charts, vacation schedules,
ensures department fully compliant with company procedures, upkeep of
department SharePoint site, owns and maintains team job descriptions
· Assist in organizing and preparation of presentation decks; routine and complex document preparation
· Other duties as assigned.
Key Requirements:
Knowledge:
· Fluent in Microsoft Office including Word, PowerPoint, Advance Excel , Outlook
· Familiarity with PeopleSoft and Taleo highly desirable
· Demonstrated ability to multitask and work in a team environment
· Strong communication skills including written and verbal
· Ability to work independently
Experience:
· Must have at least 3-5 years of administrative experience, preferably supporting an executive and a large team.
· Demonstrated track record of operating in a fast paced environment
· Has working knowledge of Unilever’s travel services
· Cost charging process
· Vendor invoicing and purchase order request processing; ARIBA
· Ability to manage multiple travel and meeting calendars.
Education:
· HS Diploma required at a minimum with equivalent years of work experience. College degree strongly preferred
