Job summary
 
As Hospitality & Workplace Services (H&WS) Coordinator, you'll be an integral part of our H&WS team, and a pivotal force in helping employees with their contents and locker management. You'll coordinate critical operations required to maintain a functional, efficient office facility that maintains the Firm's people and records retention policies. You'll help with all aspects of customer service, while presenting a professional and positive impression of Ernst & Young.
 
In this role, you'll be expected to makes some independent decisions in prioritizing client requests, and organizing all aspects of office projects as they relate to locker management, signage, and key and cylinder data changes.
 
Responsibilities
  •  Manage all aspects of locker management database in IWMS on a daily basis, create locker move template for weekly office moves, compile all new keys for all the above and coordinate distribution.
  • Directly manage day-to-day locker-related requests though dedicated mailbox, hotline and service window. 
  • Maintain all locker signage, permanent and temporary throughout building
  • Effectively team and communicate with all departments within H&WS to generate buy-in to enforce existing policies and opportunities for process improvement.  Help identify opportunities for staff development and cross-training
  • Maintain Ernst & Young's standards in H&WS. Recommend ways to improve processes and better manage expenses
  • Confirm that all H&WS activity complies with the firm's records and locker management policies
  • Create monthly report for terminations locker assignments.  Coordinate with Records Center and Maintenance Staff personnel to review and reconcile all contents on site and make all updates to IWMS.  May involve packing of contents and coordinating cylinder changes.
  • Coordinate any necessary locker cleanup projects.  Maintain reconciliation log for all
  • Coordinate with moving and signage vendors on workspace reconfiguration and large scale move projects
  • Produce various utilization reports for review by management
  • May coordinate minor construction (including associated furniture, technology installations, vending services, copiers, boxes, equipment, etc.) and configuration projects. May participate in larger projects with Americas Real Estate Services
  • May manage and maintain floor plans and construction drawing, including "as built" drawings of the new construction and/or modifications
  • Operate within established procedures and standards
 
Knowledge and skills requirements
  • Strong customer service and communication skills. Ability to communicate with people at all levels and to have difficult conversations / deliver difficult messages.
  • Adept at managing multiple tasks in a fast-paced environment
  • Sound organizational and decision making skills
  • Ability to team effectively to build proper business relationships that result in the effective execution of day to day activities
  • Ability to learn and use EY Workplace system tools
  • Fundamental and strategic understanding of workplace, hospitality, meeting and hoteling services. Confident in making recommendations to Area management
  • In-depth knowledge of systems, tools and procedures related to office maintenance, hospitality, meeting and hoteling services
  • Flexibility to work occassional overtime and weekends
  • Microsoft office experience; Lotus Notes & Word required. 
  
Experience
  • A minimum of 3-5 years customer service experience
 
Education
  • High school diploma, with some college education, or equivalent experience
