The Global Advertising Team is looking for an Executive Business Administrator to partner with the General Manager to help drive successful administrative, logistical, and operational support while driving business excellence. The ideal candidate is someone who has a passion for making managers and organizations great - through relationships, leadership, and keeping things running in a structured way. This position requires someone who is organized; has excellent communication skills; considers themselves a leader; and possesses the ability to set priorities and handle multiple tasks simultaneously with little direction.

A successful candidate for this role comes in with an advanced EA skillset, a passion for learning, ability to effectively manage workload under pressure with a calm and confident attitude, ability to be agile and decisive, and the passion to learn the business and help execute on their role as a member of the Team.

Core job responsibilities are:
Proactively manage and prioritize the GM’s calendar, including management of multiple global time zones, resulting in the GM staying focused on their business priorities, working efficiently and ensuring she is fully prepared and timely for appointments.
Drive work-back schedules for major milestone on GM’s calendar, including scheduling pre/prep meetings with key stakeholders.
Anticipates GM’s needs; make administrative decisions and requests for information on behalf of GM based on understanding of business group priorities.
Provide end-to-end complex domestic and international travel planning, including proactive planning of external partner meetings in tandem with planned business travel to drive cost efficacy and schedule efficiencies.
Exercise sound judgment, tact, diplomacy, integrity and professionalism in all transactions to include communicating and working with highly confidential and sensitive information.
Provide administrative support to GM including scheduling and coordinating logistics for meetings, making travel arrangements and processing expenses for GM, partner on Rhythm of the Business processes, including one-on-one’s, budget reviews, leadership meetings, strategy reviews, All-Hands meetings, etc.
Provide general administrative support for a team of approx. 50, including but not limited to, space coordination, tracking capital equipment/assets, and reconciling operating expense budgets. Other responsibilities include planning morale events and offsite meetings, ordering supplies/hardware/software, setting up new hires and individual moves.
Work closely with the One Marketing Admin team to ensure all administrative procedures unique to marketing are handled as required and that all group support is running smoothly.

The successful individual will have:
At least 5+ years of business administrator experience required.
Experience supporting a GM in a fast paced environment strongly preferred.
Ability to act with executive presence and diplomacy, critical for interaction with all levels of Microsoft employees and executives cross group.
Keen sense of confidentiality and ability to exude confidence to make appropriate decisions on behalf of the GM including the ability to act with sense of urgency and willingness to change directions at a moment’s notice; ability to stay calm under pressure; ability to work independently, take ownership and drive issues to resolution.
Able to work successfully in a team environment, build effective working relationships inside and outside group with varying levels of collaborators and accommodate working styles and perspectives of diverse individuals and groups.
In depth knowledge and proficiency of MS systems and products including Outlook, PowerPoint, Visio, Word, Excel, Windows and the ability to learn new internal systems quickly and with proficiency is critical.
Effective executive level verbal and written communications skills.
Proven track record of delivering on commitments while managing a heavy and diverse workload.
Strong budget management skills stronglypreferred
