DESCRIPTION & REQUIREMENTS:
Position Overview:

The Coca-Cola Company’s Washington, DC office is seeking an Executive Administrative Assistant to support the Vice President, Corporate Government Affairs and Diplomatic Relations.

Candidates must have a demonstrated proficiency for collaboration, attention to both big picture & details and strong organizational skills.  Candidates must have demonstrated results working creating effective routines in a fast paced, high volume office to enable their principal and key stakeholders to achieve Company objectives and repeat successes.

Candidates must have experience and success working directly with Executives in a fast paced, high volume, high standards environment.  Candidates must be self motivated, able to deal with ambiguity, change and demonstrate administrative team leadership skills to provide required support. International experience is preferred.

Strong administrative skills are a must: experience arranging international itineraries and travel, management of a senior executive calendar, written correspondence, superior graphic / PowerPoint skills, and proficiency with Word, Excel and Adobe PDF. Experience with expense reporting and travel booking is also preferred.


Function Specific Activities:

Answer all incoming phone calls and handle or redirect as appropriate.

Maintain calendar for principal(s).

Input travel expenses into computerized business expense form.

Schedule international/domestic arrangements to include air, hotel and ground transportation.

Identify, classify, maintain, and protect files, documentation and sensitive information consistent with record handling and retention requirements.

Schedule all Board and Committee meetings, coordinating room, food and phone connections.

Respond to related requests for information in principal’s absence. Maintain "tickler file" to ensure principals have all relevant and required meeting materials.

Compose correspondence (e.g., memos, e-mails, letters, responses to requests and inquiries) for own or principal signature.

Education: High school diploma; GED equivalent

Technical Skills:

Business Etiquette: Ability to communicate with others, via telephone or in person, in a professional and helpful manner while simultaneously building credibility and rapport. This includes the ability to  understand, be diplomatic and tactful, demonstrate appropriate behavior  in social situations and maintain composure in negative circumstances
in order to achieve results.

Typing Skills: Ability to accurately type 31-50 words per minute.

Database and System Knowledge: The knowledge and skills required to access and collect data via Company-approved databases or the Internet. This includes the ability to complete electronic forms, produce accurate reports, conduct investigative research, explain data and communicate results. This includes maintaining current knowledge and keeping up with new releases.

Asset Protection: Knowledge of the importance of ensuring the safety and appropriate utilization of all Company assets. This includes the appropriate use of Company trademarks, logos, assets, terminology and data, treating information confidentially, ensuring employee and workplace safety, and having contingency plans.

Resource Knowledge: Knowledge of internal and external tools (i.e., Trademark Guidelines, Company Style Guide) and resources (i.e., Travel, Mail Services, Meeting Services) available to accomplish tasks and achieve results.

Knowledge Transfer: Ability to learn and train others on the use of Company-related or department-specific equipment and assets (i.e., transcription equipment, pagers, cell phones, databases, KO Need).

This includes the ability to present information in a logical manner and check for understanding to ensure transfer of knowledge and skills.
