Society Executive Director, IEEE Photonics Society

Responsibilities:
The Society Executive Director of the IEEE Photonics Society (PHO ED) leads the Society Executive Office in supporting and carrying forward the decisions of the Photonics Society’s Board of Governors, Executive Committee, and President. The PHO ED focuses on developing a strong partnership with the Photonics Society volunteer leadership and is a consultant to them, providing continuity in strategic thinking and planning. In supporting the volunteer leadership, the PHO ED drives society initiatives, supports Technical Activities and IEEE initiatives, and acts as a conduit between the society and the other parts of the IEEE. He or she manages all aspects of the society’s operations, overseeing a $6 Million budget supporting 6,000 members, worldwide.
In a manner consistent with Photonic Society goals, the PHO ED oversees management of a portfolio of products, directly supported by the Executive Office professionals. These products include meeting and conference events, publications (journals, a newsletter, and conference proceedings), and educational products. The Photonics Society Executive Office supports society awards and recognition programs, chapter development programs, Distinguished Lecturer programs, and society communications programs (including the web and social networking). He or she assists in developing the society budget, in understanding the financial activities of the society, and in developing monthly forecasts. He or she also plans with the Society leadership new hires and identifies, interviews, hires, trains, and manages the Photonics Society professional staff, within the Society-approved budget. The Executive Director communicates with the Society’s membership on issues of interest and import.
The Society Executive Directors report to the Managing Director of Technical Activities.
Strategic Planning and Execution (30%)
Drive the strategic planning efforts within the Photonics Society, providing insights and options for moving the Society forward. Build relationships between professional staff and the volunteer leadership. Build strategic business relationships both internally and externally. Assure timely and appropriate communications of key issues and strategies to all stakeholders. Nurture and trial new ideas and initiatives. Lead the Society-wide commitment to positive focus on brand integrity and organizational reputation.
Relationship Management (15%)
Develop collaborative partnerships between volunteers and professional staff in support of various IEEE activities. Ensure superior Customer Service support to volunteers, members and related technical professionals using the principle of “Customer First”. Provide adequate education of volunteer leaders. Actively provide advice and counsel to volunteer and professional staff. Develop relationships with other IEEE Societies, outside Societies. Set the example of good volunteer service management. Ensure excellence in communications to members and volunteers, as well as professional partners.
Employee Development and Management (15%)
Lead, develop, deploy, and supervise direct reports. Build an effective, responsive and knowledgeable employee team that builds and maintains relationships with volunteers, as well as internal and external partner groups to achieve the defined goals. Leverage the professional skills of employees by ensuring cross-functional efforts that evaluate, communicate and implement efficient processes and procedures.
Operational Management and Business Growth (15%)
Lead and provide broad-based business management for a $6 million global business enterprise. Assure the operational and financial health of the Society. Oversee and assist the Executive Office staff, who are accountable for the detailed day-to-day operations of the society, to create and sustain an effective operational infrastructure for the society. Assure adequate processes and tools that build an environment to support the society and its products. Drive to integrate services within the society and within the IEEE so as to produce a more cost effective environment. Ensure the compilation and delivery of analytic reports and knowledge that defines and establishes trends for effective business management. Assure timeliness of periodicals, conference proceedings, and conference closings. Assure compliance with financial guidelines, complete appropriate paperwork, and assure appropriate signing authority. Assure good financial management of the society, including reporting, analytics, budgeting, forecasting, and audit support. Assure appropriate processing of society related contracts (including conference related contracts) and the collection of same. Maintain appropriate historical records to provide context and continuity.
Issues Management (10%)
Assure the timely resolution of issues within the society. Refer as appropriate to those who are equipped and trained to resolve issues. Consult with volunteers to assure proper communications and risk mitigation.
Compliance and Risk Management (5%)
Visibly lead society related legal, compliance, and regulatory efforts. Assure that compliance/control needs are met in a manner consistent with good business practices and in a manner that guards IEEE/Society assets, including its funds, brand, reputation, and credit line. Support risk management and global international business efforts. Support issue resolution and committees that support the same.
Special projects (10%)
Projects, as assigned.
Requirements:
- BA/BS/BSBA degree is required; an advanced science or engineering degree or MBA degree is preferred. Non-degreed individuals who possess an equivalent amount of relevant experience may be considered.
- He/she must have a minimum of ten years of relevant management experience, including strong customer/member service experience and management of a multi-million dollar expense budget. Experience with growing revenue streams is desired. His or her experience must include supervision and development of a multi-disciplinary staff of at least 3 direct reporting people.
- Prior association management experience will be helpful. His/her work experience must demonstrate an understanding of publishing, conference/event management, and membership (retention, development, and strategy).
- He/she must possess excellent communications skills, both oral and written.
- Prior knowledge of the goals, policies and processes of the Society or another IEEE Society would be helpful but is not required.
- He/she will be required to travel overnight up to 25% of the time, some of which will be international in nature.
- He/she must possess a valid passport and a valid driver’s permit.
- Individuals who are studying or who have mastered one or more of the following bodies of knowledge are preferred
- Association management, as represented in the Certified Association Executive (CAE) credentialing program
- Project management, as represented in the Project Management Professional (PMP) credentialing program
- Meeting planning, as represented in the Certified Meeting Planner (CMP) credentialing program Budgetary and financial management, as represented in the Certified Management Accountant (CMA) and Certified Public Accountant (CPA) licensing programs
