Executive Administrative Assistant - OPEN Customer Relationship Marketing-13016281
Description
This position is responsible for administrative support for the Vice President (VP) of the OPEN Customer Relationship Management Team, who oversees a large and reports to the OPEN Senior Vice President. The VP’s office is a dynamic, high-paced environment and therefore the day-to-day responsibilities require seamless collaboration across a wide range of business partners both inside and outside of American Express. This position is an integral part of the team and needs to be extremely proactive in anticipating and adapting to the needs of a highly dynamic senior executive. The ideal candidate must be seasoned and experienced in handling a wide range of administrative related tasks and be able to work independently and confidently under pressure. Building strong relationships, being resourceful and knowing how to navigate large organizations fluidly will also be critical to success in this position.
Day to day responsibilities include, but are not limited to:
- Manage heavy calendar activity and coordinate meetings with partner teams (both internal and external)
- Plan travel and build seamless itineraries with advance preparation for VP
- Prepare, review, and process expense reports, in line with company T&E policy
- Maintain VP’s monthly calendars and conference call pin #s
- Review all Ariba and other system requests to VP prior to approval
- Process on-line Human Resources transactions
- Support group administration including updating organization chart / distribution lists / on boarding for new hires / setting up group-wide meetings (e.g., town halls)
- Manage VP documents in both hard files and online systems
Qualifications
Required Qualifications:
- Excellent calendar management skills, including the coordination of complex meetings with internal and external parties
- Exceptional organizational, administrative and interpersonal skills
- Ability to prioritize multiple tasks with minimal guidance
- Strategic thinker and ability to anticipate and mitigate issues that may arise
- Strong sense of integrity with ability to handle confidential and sensitive information with discretion
- Strong written and verbal communication skills
- Attention to detail and timely follow-up
- Collaborator and solution-oriented
- Proficiency in Microsoft Outlook and Microsoft Office, including Word, Excel and PowerPoint
- Strong working knowledge of American Express Company processes and internal systems, e.g., PeopleSoft, Ariba Buyer, AXIOM, etc.) is preferred
