We are looking for an Executive Assistant to support our senior bankers in our San Francisco office.

We are looking for an Executive Assistant to support our senior bankers in our San Francisco office.

In this role, you will:
  • Perform advanced, diversified and confidential administrative duties as needed
  • Receive and direct visitors, maintain calendar appointments, meetings and travel itineraries and coordinate related travel arrangements (domestic and international)
  • Order supplies, prepare expense reports, prepare/edit PowerPoint and Word documents
  • Prepare and submit expense reports for the team, and process vendor invoices for payment
  • Support senior level executives
  • Prepare documents including printing, binding, scanning, faxing of documents
  • Arrange courier and overnight shipments
  • Assist with ordering, stocking and maintaining supplies for the kitchen area
  • Regularly enter and maintain contact and meeting data in our CRM database
  • Record and enter attendance and leave requests for your team
  • Work on assigned projects with minimal supervision

To be successful, you will have:
  • Proven administrative experience within a financial services firm having provided team support (computer proficiency in Outlook, Word, Excel and PowerPoint)
  • The ability to work within a fast paced environment and ability to show initiative and be resourceful
  • Strong communication skills and the ability to multi-task
  • Excellent attention to detail
  • Desire and ability to work professionally and efficiently in a deadline driven environment
  • Exceptional organization skills
