Function of the Position:
Supports the Economic Growth, Governance and Environment & Health Sectors to coordinate financial, logistical and administrative tasks and assists in any corporate tasks as needed.
Roles and Responsibilities:
New Business/Knowledge Management Coordination (40%)
Provide support for knowledge management capture and sharing of DAI experience to networking DAI experts, external consultants and partners for Sector teams. This will include working with team members to leverage intranet resources, including:
- Work with Sector Managing Directors and their teams to grow and develop the new Sector Communities on the DAI intranet.
- Identify and develop an annotated list of strong proposals and corporate capabilities statements within the past two years; "tag" documents to ensure accuracy and ease of finding in priority technical areas.
- Provide a brief and thoughtful summary of key parts particularly relevant for future proposals such as an approach, gender and M&E write-ups.
- Identify and disaggregate original graphics and causal models for adaptation for future infographic and visual design efforts.
- Work with team members to identify and capture important reports, analytical methodologies, innovative designs, and training guides that are being developed or have been developed by ongoing and recently completed projects (within the last 2 – 3 years).
Responsible for processing group financial transactions, including:
- Auditing project iExpense reports, Independent Consultant Agreements (ICA) and invoices, inter-company work orders, and non-Purchase Order supplier invoices for review or approval by Global Practice Leaders
- Tracking group budgets
- Collecting required documentation for Independent Consultants and submitting requisitions to create ICAs. Submitting requisitions for goods and services procurements.
Provide general administrative and logistical support to the Sectors teams. Coordinate meetings, teleconferencing, and note taking as requested. Plan, advertise, and run company events such as brownbags technical workshops and trainings. Support Solutions' experts for mobilization/demobilization for Short-term Technical Assistance (STTA) assignments for specific client activities (i.e. scheduling, coordinating travel arrangements, obtaining visas, hotel bookings, ensuring traveler's information is entered into iJet, etc.). Provide backstopping support to travelling Solutions personnel, including Sector Managing Directors, Global Practice Leaders and Associates. Any other tasks as requested by management for the Global Practices and corporate needs.
Minimum Qualifications
- Minimum of one year relevant administrative experience and BS/BA degree in a relevant field.
- Understanding of/interest in the international development field and international business
- Excellent oral and written communication skills
- Must be eligible to work in the United States
- Some experience with social media, knowledge management, and marketing
- Proficiency in a second language
- Graphic design skills
